1. Who we are
Neural Apply AI is a product of Kognify Matrix Labs, a company registered in Noida, Uttar Pradesh, India. For any privacy-related queries, contact us at info@kognifymatrixlabs.ai.
2. What data we collect
The Neural Apply AI Chrome extension and dashboard collect the following categories of user data:
- Profile information (Full name, email address, phone number, LinkedIn profile URL) — Purpose: Auto-fill job applications on LinkedIn on your behalf.
- Job preferences (Preferred job title, location, job type, work mode, skills, cover letter text) — Purpose: Search and filter relevant LinkedIn Easy Apply jobs.
- Employment details (Total experience, domain experience, current CTC, expected CTC, notice period, relocation preference) — Purpose: Fill experience-related fields in LinkedIn job applications.
- Resume file (PDF, DOC, or DOCX file uploaded by the user) — Purpose: Attach to job applications that require a resume upload.
- Application activity (Jobs applied to, jobs skipped, session stats) — Purpose: Display real-time progress in the extension side panel and dashboard.
- Authentication data (Email address used as account identifier) — Purpose: Link the extension to the user's dashboard account.
3. How we collect data
- Directly from you: When you fill out the 3-step onboarding form in the extension's side panel (Profile → Job Preferences → Resume).
- From LinkedIn pages: The extension reads LinkedIn Easy Apply job listing pages to identify job details, application form fields, and button elements — solely for the purpose of automating the application process on your behalf. We do not scrape or store LinkedIn content beyond what is needed for the current auto-apply session.
- From Chrome local storage: Your profile, preferences, and session state are saved locally in Chrome's extension storage (chrome.storage.local) so they persist between browser sessions.
4. How we use your data
- Auto-filling job applications: Your profile information and job preferences are used to fill LinkedIn Easy Apply forms automatically when you activate the auto-apply feature.
- Dashboard synchronisation: Your profile is sent to the Neural Apply AI dashboard (neuralapplyai.com) so you can view and manage your job search from a web interface.
- Session logging: Application events (applied, skipped, errors) are logged to an automation webhook for real-time dashboard updates and analytics.
5. Data sharing — third parties
We share user data with the following third-party services, and only for the purposes described:
- LinkedIn (linkedin.com) — Data shared: Profile info, resume — Purpose: Auto-filling Easy Apply job application forms on your behalf. Data is entered directly into LinkedIn's forms as if you typed it manually.
- n8n automation server (self-hosted by Kognify Matrix Labs) — Data shared: Profile info, application events — Purpose: Workflow automation: logging application activity, syncing profile between extension and dashboard.
- Neural Apply AI dashboard (neuralapplyai.com, hosted by Kognify Matrix Labs) — Data shared: Profile info, application stats — Purpose: Web-based dashboard for users to manage their job search, view applied jobs, and configure preferences.
We do NOT:
- Sell, rent, or trade your personal data to any third party.
- Use your data for advertising, profiling, or behavioural targeting.
- Share your data with data brokers, marketing agencies, or analytics platforms.
- Transfer your data to any party not listed above.
6. Data storage and security
- Local storage: Your profile, job preferences, and session state are stored in Chrome's chrome.storage.local on your device. This data stays on your machine and is not accessible to other extensions or websites.
- Server storage: Profile data synced to the dashboard is stored in a PostgreSQL database (Supabase-hosted) with row-level security (RLS) policies ensuring each user can only access their own data.
- Encryption: All data in transit is encrypted via HTTPS/TLS. Server-side data at rest is encrypted by the hosting provider (Supabase).
- Access control: Only the Kognify Matrix Labs engineering team has access to the server-side database, under strict access controls.
7. Data retention
- Extension local data: Stored until you uninstall the extension, clear your browser data, or click "Edit" in the extension's control panel (which clears your saved profile).
- Server-side data: Retained for as long as your account is active. Upon account deletion or written request to info@kognifymatrixlabs.ai, all associated data is deleted within 30 days.
- Application logs: Retained for up to 90 days for troubleshooting purposes, then automatically purged.
8. Your rights
You have the right to:
- Access: Request a copy of all data we hold about you.
- Correction: Update or correct your personal information at any time via the extension's side panel or dashboard.
- Deletion: Request deletion of your account and all associated data by emailing info@kognifymatrixlabs.ai.
- Portability: Request your data in a machine-readable format.
- Withdrawal of consent: Uninstall the extension at any time to stop all data collection. To delete server-side data, email us.
9. Permissions justification
The extension requests the following Chrome permissions:
- activeTab — Access the currently active LinkedIn tab to read and fill job application forms.
- storage — Save your profile, preferences, and session state locally so they persist between browser sessions.
- tabs — Open LinkedIn job search pages when you click "Start Auto Apply", and communicate between the extension and the active tab.
- sidePanel — Display the extension's configuration form and control panel in Chrome's built-in side panel.
- host_permissions (linkedin.com) — Inject content scripts into LinkedIn pages to automate the Easy Apply process.
- host_permissions (neuralapplyai.com) — Communicate between the dashboard and the extension for profile sync and remote start.
- host_permissions (n8n webhook) — Send application events and profile data to the self-hosted automation server for dashboard sync.
10. Children's privacy
Neural Apply AI is not intended for use by anyone under the age of 16. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
11. Changes to this policy
We may update this privacy policy from time to time. The "Last updated" date at the top of this page indicates when the most recent changes were made. Continued use of the extension after changes constitutes acceptance of the updated policy.
